When Subscriptions are enabled for a product, customers are able to set up a “recurring automatic purchase” during checkout, such as a shipment of body wash every month. This allows customers more flexibility with setting up future “continuity” orders in advance, drives more regular sales, and allows product inventory to be replenished at a cadence. This feature also lets customers test out a product for a “trial period” in advance of their full subscription.In this video, I’m going to demonstrate how to manage an existing customer Subscription through the KIBO UI. KIBO has a dedicated “Subscriptions” menu interface located on the “MAIN” tab, then click on “Subscriptions”. There are 2 ways to navigate to a customers Subscription. Here, Subscriptions are listed by “Subscription Number”, and all Subscriptions on the tenant are listed , regardless of “Status”. There is a Search and Advanced Filter bar at the top of the page to quickly narrow down Subscriptions. We’ll click directly on the desired Subscription to open it’s “Subscription Details” page This will bring us to the subscriptions menu page. Here, subscriptions are listed by subscription number and all subscriptions on the tenant are listed regardless of status. Similar to the “Subscriptions” menu we reviewed, this will list all Subscriptions, but only for this specific Customer. Alternatively, we can click the “Ellipses” located on the far right of the Subscription line item, which will open a menu with actions such as “Edit Subscription”, “Order All items Now”, “Pause” or “Skip Subscription”.Selecting “Edit Subscription” allows users to edit various aspects of the subscription such as subscription “Frequency”, “Shipping Method”, and more. Users can only choose between “common frequencies” for all items on a Subscription. All items in a Subscription will be listed in the “Subscribed Items” section. Any updates in this section may cause a reprice to occur on the subscription, which updates the price of continuity orders by refreshing discounts, tax, and shipping and handling charges. We can select a new “Fulfillment” type using the drop-down menu, including changing to a different pickup location.We can have a combination of “Direct Ship” and “Pickup” items in the Order, but if we include at least one “Direct Ship” item then we must ensure that a “Shipping Method” and “Address” are selected in the “Fulfillment Information” section. Clicking into the “Quantity” field of a Subscription item brings up the “Edit Item Quantity” modal window. We can increase or decrease the “Quantity” here.Increasing “Quantity” simply requires entering a value greater than the current value, then clicking the “Confirm” button. The subscription will be updated to the new “Quantity” for all recurring orders starting on the Next Order Date.If we reduce the quantity of a Subscription item, we will be prompted to provide a “Reason” for the change. If we decrease the quantity to “0”, then the item will be automatically removed from the Subscription. Clicking into the “Quantity” field of a Subscription item brings up the “Edit Item Quantity” modal window. We can increase or decrease the “Quantity” here. Clicking the “X” on the right-side of the Subscription item will “Remove” the item from the Subscription. Similar to the previous step, this will bring up the “Remove item” modal window where we will have to select a “Reason” for the removal.If all items are removed from a Subscription, then the Subscription will be automatically moved to the “Cancelled” state. Clicking the X on the right side of the subscription, item will remove the item from the subscription. Similar to the previous step. This will bring up the remove item modal window where we will have to select a reason for the removal. If all items are removed from a subscription, then the subscription will be automatically moved to the canceled state. To add a new item to the Subscription, we’ll click the “Add item” link. This will add a new line to the “Subscribed Items” section, and we can Search for or scroll through other products offered for Subscription.When we’ve selected the new item, we’ll need to configure the “Fulfillment” and “Quantity” fields as we’ve just done, then click the “Add Item” button on the right. If we attempt to add a new subscription item, and the items possible frequencies do not include the frequency already configured on the subscription, then a pop-up will prompt us to either create a new subscription or change the frequency of the existing one. This ensures consistency in the subscription settings and prevents errors. Any “Coupons” added in the “Add a coupon” section will apply to all continuity orders until the coupon is removed or becomes invalid.To add a “Coupon” in the “Add a coupon” section, we’ll enter the “Coupon Code” and then click the “Apply” button. We can apply “Coupons”, or discounts, to existing Subscriptions, if desired. Any “Coupons” added in the “Add a coupon” section will apply to all continuity orders until the coupon is removed or becomes invalid. In the “Subscription Summary” section, we can make adjustments to the “Item”, “Shipping”, “Handling”, and “Duty” pricing subtotals, which will carry over to all subsequent continuity orders. We can either “Add” to or “Subtract” from the subtotals using a percentage or discrete currency value. The tax will be automatically updated by the system.We will be prompted to select an appeasement “Reason” after making any pricing adjustment. In the “Subscription Summary” section, we can make adjustments to the “Item”, “Shipping”, “Handling”, and “Duty” pricing subtotals, which will carry over to all subsequent continuity orders. We will be prompted to select an appeasement “Reason” after making any pricing adjustment. The final section of the Subscription Details page is the “Subscription Attributes”. Here, all custom “Order Attributes” that we have configured as either “Subscription Only” or “Order and Subscription” will be displayed.We’ll discuss creating “Order” and “Subscription Attributes” in a separate video.To edit the “Values” on the Attributes, click “Edit” in the top right. The final section of the Subscription Details page is the “Subscription Attributes”. Here, all custom “Order Attributes” that we have configured as either “Subscription Only” or “Order and Subscription” will be displayed. Cancelling the Subscription will require users to select a “Reason”, then we can click “Cancel Subscription” to complete the cancellation, or click “Nevermind” and return to the Subscription Details page. If a customer needs to make a change to their next continuity order, but the change does not need to persist for all future orders, then we can make a one-time update to the Subscription. We can make similar edits to the Subscription here that we reviewed on the Subscription Details page, such as “Change Address” or “Shipping Method” in the “Fulfillment Information” section, “Add a coupon”, or edit “Fulfillment” or “Quantity” of the Subscription item.However, we are unable to change the “Subscription Frequency”, “Next Order Date”, edit the subtotals in the “Subscription Summary”, edit the “Subscription Attributes”, or perform “Actions” such as “Pausing” or “Cancelling” the Subscription. Apply one or more “Subscription”, “Item”, or “Shipping” coupons by entering the coupon code in the “Add a coupon” section and clicking “Apply”.We can enter either “one-time” or “subscription-only” coupons. The coupon will only be applied to the appropriate items in the next order.
